When we set out to begin our digital signage network we broke the initial phases down into specific goals to accomplish in that particular phase.  Often we had to learn new technologies or read a book on something specific we would need to use in that phase.  We created that phase to include everything from research, budgeting, purchasing and ordering what was needed, receiving, set-up, testing and finally fully implementing the new feature.  Often two phases might overlap each other somewhat based upon waiting on items to be shipped and installed or awaiting funding.  Your phases may or may not follow our progression but you will get the idea of how we go about our deployments of digital signage in various scenarios.  Here are some examples of our phasing process:

Phase 1   

Year 1

6 months

Receive funding

Track all expenditures

Staff one full-time position (Database / IT position)

Research & Develop the technology

Attend Digital Signage Expo in Chicago for intense research

Deploy 10 digital signs at unique locations on 2 campuses

Include both indoor and outdoor deployment of digital signage

Select and survey those 10 locations for installation of digital signage

Hold discussions with WVU Office of Information Technology about IP network

Establish network integrity and security communicating to each of the 10 sites

Order needed equipment and software

Install a Master Control Room to run the network from

Create the initial generic loop of information to be displayed  (five 3-minute pages)

Install power and network drops

Install the mounting hardware and monitors

Make the final connections of power and network

Light them up!

Test the system

Continue to monitor the content

Communicate results to administration

Phase 2   

Year 1

3 months

Staff second full-time position and secure funding  (Graphics Artist / Designer)

Create a reliable Emergency Alert feature using an RSS Feed

Create the database for the RSS Feed

Test the RSS Feed off-line

Establish network integrity and security

Create and test a simple web form for the WVU Police to issue the RSS Feed

Test with WVU Police and confirm each digital sign made the switch to Emergency mode

Test and confirm Emergency Messaging features

Track response times to establish baselines for future tests  (9 – 20 seconds)

Establish ongoing quarterly tests

Create additional pages for display  (eleven 3-minute pages)

Communicate results to administration

Phase 3

Years 1 – 2

2 months

Begin to broadcast video segments within certain pages in the loop

Determine the best type of video format to use

Determine the optimum settings for displaying that video

Test the system performance using video to see if data transfer rates are acceptable

Test and confirm Emergency Messaging features

Check audio levels for the accompanying video at each site

Establish network integrity and security

Test and confirm Emergency Messaging features

Begin releasing video on a limited basis

Test web streaming video to all sites

Create a Widget for Facebook and iGoogle

Integrate institutional YouTube videos into our loop of information

Create Policy Statements and Best Practices Documents

Communicate results to administration

Phase 4

Year 3

8 months

Research and develop interface with WVU campus Cable TV Channel 7

Test to see if it works reliably in all campus residential hall televisions

Receive funding to install this in 17 campus residential halls

Track all expenditures

Site surveys for placement in 17 campus residential halls

Establish network integrity and security

Installation scheduled during the summer while students are away

Contract to have power and network drops installed at each site

Order all mounting hardware and digital signage monitors

Contract to have all mounts and monitors installed

Light up each deployment and test

Test and confirm Emergency Messaging features

All up and running by the return of students for the fall semester

Communicate results to administration

Attend Digital Signage Expo in Las Vegas

Phase 5

Year 2 to the present

Ongoing Sub-Phases (time frame determined on individual basis)

Begin working with various individual colleges to install digital signage

Consult with individual college decision makers

Conduct site surveys

Provide cost analysis to the client

Receive approval from client

Receive funding from the client

Create client specific pages for addition to their own loop of information

Order all equipment for those sites

Oversee the installation by the client’s installation vendor

Track all expenditures

Establish network integrity and security

Light up the digital signage

Introduce Social Media content on select pages  (Twitter)

Test and confirm Emergency Messaging features

Confirm client satisfaction

Communicate results to administration

Phase 6

Year 4

Research new X2O Media Xpresenter software platform

Test trial software

Test and confirm Emergency Messaging features

Determine results

Present new software to administration for approval to purchase

Receive approval to purchase

Purchase Xpresenter

Train team on Xpresenter  (Montreal, Canada)

Create new pages for the new loop of information

Add additional Social Media content (Wiffiti, Twitter, etc.)

Begin limited release of new software to various sites over time

Submit nominations for various digital signage industry awards

Attend Digital Signage Expo in Las Vegas

Phase 7

Year 4

6 months

Research and develop technology to export digital signage to regional campuses

Test site 170 miles away

Conduct site surveys

Establish network integrity and security

Provide cost analysis to the client

Receive approval from client

Receive funding from the client

Create client specific pages for addition to their own loop of information

Order all equipment for those sites

Oversee the installation by the client’s installation vendor

Track all expenditures

Light up the digital signage

Test and confirm Emergency Messaging features

Confirm client satisfaction

Communicate results to administration

Phase 8

Year 4

8 months

WVU Visitors Resource Center  (Main campus portal for new student recruitment)

16,000+ visitors annually to the VRC

Install a large video wall system  (9-16 display monitor, hardware and software)

Install touch screen wayfinding /campus maps technology  (2 complete deployments)

Install content specific systems within the interior of the facility  (3 complete systems)

Research and develop video wall technology

Research and develop touch screen technology

Research and develop wayfinding technology

Research Google Maps technology and integration

Liaisons with WVU Web Services for existing campus maps

Liaisons with WVU Web Services for assistance is content design and creation

Liaisons with WVU Television Productions / Video for video content

Liaisons with X2O Media regarding integration of Xpresenter software

Conduct site surveys  (Video wall, Lobby and VRC interior)

Establish network integrity and security

Provide cost analysis to the client

Receive approval from client

Receive funding from the client

Create client specific pages for addition to their own loop of information

Order all equipment for those sites
